Advisory Events ("Advisory," "we," "us," "our") is committed to the proper management of the personal information we collect, use and disclose in the course of business. This includes the information of our clients, visitors to advisory.events (the "Site"), and event attendees whose images may appear in our work. This policy describes those practices and reflects our obligations under applicable Canadian privacy law.

Personal Information and Your Consent

Personal information means any information about an identifiable individual, such as your name and contact details when you write to us, or information you choose to provide in the course of an engagement. By providing us with your personal information, by engaging our services, or by using the Site, you consent to the collection, use and disclosure of your personal information as described in this policy. You may withdraw consent as described below.

Collection of Personal Information

We do not collect personal information indiscriminately. We collect only what is necessary for the purposes identified here: business and personal contact information you provide when you email us or engage our services; information about your event, organization and requirements needed to scope and deliver an engagement; and photographs and video captured in the course of producing or documenting events, which may include images of attendees. Where possible we collect information from you directly. If you provide us with another individual's personal information, you represent that you have the authority to do so.

Use of Personal Information

We use personal information to respond to inquiries and provide quotes; to deliver event production, photography, print, design and related services; to administer our business, including invoicing and record-keeping; to deliver photo and video galleries to clients; and to assess Site use so we can improve it. We do not sell personal information, and we do not use it for third-party advertising.

Disclosure of Personal Information

We disclose personal information only as described here, with your consent, or as required by law: to vetted partners and service providers (such as photographers, print vendors, transport providers and gallery-hosting platforms) where necessary to deliver an engagement; and to professional advisors, insurers, or authorities where required. We require service providers to use the information we share only to complete the services they provide to us and to protect it appropriately.

Client Galleries

Photo and video galleries are delivered through access-controlled pages and third-party gallery platforms. Gallery access keys are issued to clients; anyone in possession of a key can view the associated gallery, so clients are responsible for how they share their keys. Gallery hosting providers process images under their own privacy policies, which we encourage you to review.

Cross-Border Transfer and Storage

Your personal information may be processed or stored on servers outside Canada or outside the province in which it was collected, including by service providers such as website hosting, email and gallery platforms, and may be subject to the laws of those jurisdictions.

Cookies and Website Analytics

The Site uses cookies and similar technologies. Strictly necessary items (such as your saved cookie preferences) are always active. Performance cookies, used to count visits and understand how visitors move through the Site, are set only with your consent, which you can give or withdraw at any time using the Cookie preferences link on the Site. The Site uses Google Analytics for this measurement; you can learn how Google uses information at policies.google.com/privacy. Where consent is not given, only aggregated, cookieless signals are collected. Our servers and hosting providers may also automatically log standard technical information, such as IP address, browser type and pages requested, in de-identified, aggregate form.

Retention and Protection

We retain personal information only as long as needed for the purposes for which it was collected, or as required by law. We take physical, organizational, contractual and technical measures appropriate to our business to protect personal information against loss, theft and unauthorized access, use or disclosure.

Access, Correction and Withdrawing Consent

You may request access to the personal information we hold about you, request corrections, or withdraw consent to its continued use, subject to legal and contractual restrictions, by contacting us below. Withdrawing consent may limit our ability to provide services. If we cannot fulfill a request, we will explain why in writing.
